Welcome to the BHWC website. These Terms & Conditions govern your use of this website and your participation in any fundraising events booked through it. By accessing this site or booking an event, you agree to be bound by these Terms & Conditions.

1. About BHWC

BHWC (Bicester Hunt with Whaddon Chase) is a not-for-profit organisation that hosts fundraising events to support the continuation of country pursuits and rural heritage. All event proceeds go toward supporting our community goals.

2. Booking and Payment

  • All event bookings must be made through our website using the Wix booking system.

  • Payment is required in full at the time of booking to secure your place.

  • Prices are clearly listed on each event page and are subject to change at BHWC’s discretion.

  • You will receive a confirmation email once your booking is complete.

3. Participant Requirements

By booking an event, you confirm that:

  • You meet any age, ability, or eligibility requirements stated on the event listing.

  • You agree to comply with all instructions and safety guidelines provided before and during the event.

  • You are responsible for ensuring any other participants you register are aware of and comply with these Terms & Conditions.

4. Cancellations & Refunds

  • BHWC-Initiated Cancellations: If BHWC cancels or postpones an event due to unforeseen circumstances (e.g. weather, low numbers, safety concerns), we will offer a full refund or transfer your place to a future event.

  • Participant Cancellations: If you wish to cancel your place, no refunds will be issued unless otherwise stated in the event description. However, we will try to accommodate a transfer to another BHWC event where possible.

5. Photography & Media

By attending a BHWC event, you consent to being photographed or filmed. These images may be used for promotional purposes, including on our website, social media, press releases, and marketing materials. If you do not wish to appear in promotional content, please inform the Organiser in advance.

6. Liability & Assumption of Risk

  • Participation in BHWC events is at your own risk. You are responsible for your own health, safety, and belongings during any event.

  • BHWC accepts no liability for injury, illness, loss, or damage sustained during any event, unless due to proven negligence on our part.

  • Participants are advised to carry suitable insurance, including third-party public liability insurance where applicable (e.g. horse riding events).

7. Privacy & Data Protection

  • Your personal data will be collected and stored securely in accordance with our Privacy Policy.

  • We will only use your information for the purpose of managing your booking and communicating with you about the event.

  • We will not sell, share, or disclose your data to third parties, except where required by law.

8. Code of Conduct

BHWC is committed to providing a welcoming and respectful environment. We reserve the right to remove any participant from an event or refuse entry to individuals who:

  • Behave in a disruptive, unsafe, or inappropriate manner;

  • Fail to comply with the instructions of event staff or volunteers;

  • Do not follow event rules or safety protocols.

9. Website Usage

  • All content on this site (text, images, logos, design) is owned by or licensed to BHWC and may not be reproduced without permission.

  • You must not use this website in any way that causes damage, impairs performance, or attempts to access restricted areas.

10. Changes to These Terms

BHWC reserves the right to modify these Terms & Conditions at any time. Any changes will be posted on this page. Continued use of the website or participation in events after changes are published indicates your acceptance of the revised terms.
